Join a small, established psychotherapy practice as it enters a focused growth phase. In this role, you’ll work closely with the owner, acting as a reliable and practical extension to ensure day-to-day operations run smoothly while supporting the practice’s growth. This position is perfect for someone who thrives in a multi-faceted environment, notices what needs to be done, and follows through independently.
You will have the chance to make a meaningful impact on both operational efficiency and client experience. Your contributions will support therapists, clients, and external partners, ensuring the practice delivers high-quality, consistent care while expanding strategically. Your Responsibilities
- You will support the day-to-day operations of the practice, including phone message management and intake overflow
- You will oversee the physical office environment, coordinating vendors, supplies, and equipment as needed
- You will develop and maintain referral relationships, drafting correspondence and tracking outreach to physicians, schools, and allied health providers
- You will assist therapists with caseload management, monitoring availability, routing clients, and identifying early client drop-off patterns
- You will support business growth initiatives, translating short-term priorities into actionable plans and assisting with service mix and caseload planning
- You will document existing workflows and processes, creating clear internal documentation to ensure consistency and reduce reliance on informal knowledge
Skills and Qualifications
- 3+ years of experience in healthcare, mental health, or professional services settings
- Strong written and verbal communication skills, with professional correspondence experience
- Demonstrated ability to work independently, manage priorities, and exercise judgment within limited weekly hours
- Experience in small or growing practices is strongly preferred
- Familiarity with hiring coordination, referral outreach, operations support, or process documentation is an asset
- Strong organizational skills and attention to detail, with the ability to translate priorities into actionable steps
