Job Description

Location: Toronto, Downtown
Language: Advanced English required, both written and spoken
Duration: 3 months contract with a possibility of extention

Hours and set up: 37.5 hours/week; 2 days on site, possibly more.
Background Check Requirement: Successful completion of a criminal background check required.

About the Opportunity

This is a senior-level Executive Assistant opportunity supporting a Vice President or Chief within a complex, fast-paced public sector environment. In this role, you’ll act as a trusted partner to portfolio leadership, managing confidential information, coordinating priorities, and ensuring seamless communication across internal and external stakeholders.

You’ll work closely with executive leaders, government partners, and sector representatives, playing a key role in keeping operations running smoothly and proactively addressing issues before they escalate. Your Responsibilities

  • You’ll manage the flow of confidential information, documents, and activities for the executive office, ensuring urgent matters are prioritized appropriately.
  • In this role, you’ll act as a key liaison between portfolio leadership and internal and external stakeholders, including government and sector partners.
  • You’ll coordinate complex calendars, meetings, agendas, and briefing materials while tracking action items and follow-ups.
  • You’ll draft, review, and coordinate responses to correspondence, briefing notes, reports, and presentations.
  • You’ll support executive-led projects and committees, identifying risks, researching issues, and recommending responses.
  • You’ll oversee office administration, including budget tracking, expenses, and guiding administrative staff.

Skills and Qualifications

  • 5–10 years of progressive experience providing executive support to senior leaders (VP or C-suite)
  • Post-secondary education in business, administration, or a related field
  • Strong knowledge of executive office protocols and stakeholder management
  • Prior experience in OPS or other Public/Government environment
  • Advanced written and verbal communication skills
  • Proven experience supporting boards or committees
  • High proficiency with MS Office, SharePoint, and virtual meeting platforms
