Job Description

Our client within the property management industry is seeking a Project Coordinator to join their team in Ottawa. Reporting to the Project Manager, the primary responsibility of this role is to provide direct administrative support to the construction project delivery team.

This is a full-time, permanent position that offers competitive compensation, benefits, paid time off, and more. This role requires you to work fully on-site in Ottawa.

The successful candidate must possess a secret clearance.

Responsibilities

  • Provide administrative support for construction project delivery, including document management, scheduling, and project reporting.
  • Oversee small tenant requests under $25K from initiation to completion, ensuring timely and cost-effective delivery while maintaining compliance with company standards.
  • Coordinate construction activities such as work permits, site access, loading dock scheduling, and material deliveries to ensure smooth project execution.
  • Monitor project sites for health and safety compliance, report issues to the Senior Project Manager, and enforce safety regulations.
  • Assist in budget preparation, track expenses, review project invoices, and manage project expenditures to ensure financial accuracy and accountability.
  • Support tender processes, participate in vendor selection, and manage contracts, purchase orders, and change orders for project delivery.
  • Maintain effective communication with tenants, contractors, consultants, and internal teams, ensuring project updates are shared and issues are resolved promptly.
  • Monitor construction quality, ensure project documentation is accurate, and prepare detailed project status reports for senior management.
  • Coordinate project closeout activities, including collecting “as-built” drawings, warranties, and maintenance manuals, ensuring a seamless handover to the operations team.
  • Handle multiple projects simultaneously, adapt to changing priorities, and be available outside normal working hours when required to meet project deadlines.


Qualifications

  • The successful candidate must possess a secret clearance.
  • 3-5 years of experience in a project coordinator role within commercial construction or real estate project delivery preferred.
  • Post-secondary certificate or diploma in project management, construction technology, business administration, or a related field is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with project scheduling software such as Microsoft Project.
  • Strong understanding of project documentation, budgeting, tender processes, contracts, change orders, and project closeout procedures.
  • Excellent written and verbal communication skills, with the ability to collaborate effectively with tenants, contractors, consultants, and internal teams.
  • Strong organizational skills with the ability to manage multiple projects, meet tight deadlines, and resolve project-related challenges proactively.
