About the Opportunity

As an Executive Assistant, you will play a critical role in keeping day-to-day operations running smoothly while managing highly confidential and sensitive information with discretion and care.
Working closely with the Chief Strategy Officer (primary reporting line) and providing ongoing support to the Chair of the Board of Directors, Members of the Board, Corporate Secretary, and the Office of the CEO, you will act as a trusted partner to senior leadership. This role requires strong judgement, professionalism, and a solid understanding of governance and executive operations. It is well suited for a seasoned administrative professional who thrives in a structured environment, enjoys being relied upon, and brings a proactive, solutions-focused mindset to their work.

Your Responsibilities
- You will provide confidential executive-level administrative support to the Chief Strategy Officer, Chair of the Board, Board Members, Corporate Secretary, and senior leaders within the division.
- You will coordinate complex calendars, meetings, and board-related sessions, ensuring logistics, materials, approvals, and technology are in place.
- You will prepare and manage briefing notes, board packages, agendas, minutes, and governance documentation, ensuring accuracy, consistency, and timeliness.
- You will create, format, and proofread professional presentations, reports, and correspondence using Microsoft Office tools.
- You will manage incoming executive and board-level communications, responding or redirecting inquiries with professionalism, discretion, and sound judgement.
- You will support division-wide and corporate initiatives, including executive meetings, governance cycles, events, and internal engagement activities.
- You will maintain organized and secure filing systems, ensuring data integrity, version control, and compliance with records management standards.
Skills and Qualifications
- 8+ years of progressive administrative experience, supporting senior executives, C-suite leaders, and/or Boards of Directors
- Demonstrated experience in complex scheduling, governance support, document preparation, and confidential file management
- Strong understanding of executive operations, governance structures, and accountability practices
- Advanced proficiency with Microsoft Word, Excel, PowerPoint, and Outlook
- Excellent written and verbal communication skills, including proofreading and minute-taking, with exceptional attention to detail
- Ability to work autonomously while collaborating effectively with executives, board members, and cross-functional teams
- Experience in the public sector, government, or a regulated environment is considered a strong asset
