Job Description
Our Federal Government client is seeking a skilled and motivated Bilingual Executive Administrative Assistant to join their HR Workplace Effectiveness team. This is a pivotal role supporting the Director of Workplace Effectiveness, responsible for a broad spectrum of administrative and coordination duties that keep our HR operations and leadership engagements running smoothly.
Contract- one (1) year, full-time
Location- on-site downtown Ottawa, ON
Language- Bilingual
Clearance- Reliability level of security clearance
Key Responsibilities
- Manage and coordinate the Director’s calendar and email communications.
- Identify and flag urgent matters requiring immediate attention.
- Track correspondence, remits, and action items to ensure timely follow-up.
- Provide logistics and administrative support for management meetings, including minute-taking and follow-ups.
- Organize meetings with internal and external stakeholders, including senior leadership.
- Draft professional emails and internal communications on behalf of the Director.
- Provide project management support to Workplace Effectiveness team initiatives.
- Coordinate logistics and planning for all-staff meetings.
- Maintain tracking systems for team workforce and workplace data.
- Support various ongoing initiatives within the Workplace Effectiveness function.
Mandatory Qualifications
- College or CEGEP diploma/certificate or High school diploma
- At least 5 years of experience previously supporting a Director, Assistant Director General, Assistant Deputy Minister, CEO, or President in an Executive Administrative capacity
- Previous Human Resources experience is required
- Must be Bilingual
- Must hold a VALID Reliability level of security clearance
