Job Description
Our leading commercial property management client is seeking an Assistant Property Manager to join their team in Ottawa. This role involves tenant relations, financial reporting, maintenance coordination, and administrative duties to ensure the smooth and efficient management of the properties.
This is a full-time, permanent position that offers competitive compensation, paid benefits, 3-weeks' vacation and more.
Responsibilities:
- Act as the first point of contact for tenants, addressing inquiries, requests, and concerns promptly.
- Assist in lease administration, including lease documentation, renewals, and compliance tracking.
- Support financial management by assisting with budgeting, rent collection, expense tracking, and preparing financial reports.
- Oversee the operations and tenant services teams.
- Coordinate maintenance and repairs, liaising with vendors and service providers to ensure timely resolution of issues.
- Conduct regular property inspections and report on operational and maintenance needs.
- Assist in managing contracts with third-party service providers, ensuring compliance and cost efficiency.
- Prepare correspondence, reports, and other documentation as needed.
- Maintain accurate records, databases, and property management software.
- Support the Property Manager with special projects and initiatives as required.
Qualifications:
- Diploma or degree in Business Administration, Real Estate, or a related field preferred.
- Proven experience in property management in a commercial setting.
- Strong knowledge of lease administration, tenant relations, and property operations.
- Experience with Yardi and MRI Angus is an asset.
- Proven experience in people leadership.
- Proficiency in property management software and Microsoft Office Suite (Excel, Word, Outlook).
- Excellent organizational and problem-solving skills with keen attention to detail.
- Strong interpersonal and communication skills for effective tenant and vendor interactions.
- Ability to manage multiple tasks in a fast-paced environment.
- Knowledge of relevant property laws, regulations, and building codes is an asset.
