Job Description
Our client in the property management industry is seeking to hire a Tenant Services Coordinator. The Tenant Services Coordinator is responsible for ensuring a high level of satisfaction and effective communication between tenants and the property management team. This role involves addressing tenant inquiries, coordinating maintenance and repair requests, and supporting various tenant-related activities and events. The ideal candidate will have excellent interpersonal skills, a proactive approach to problem-solving, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
- Serve as the primary point of contact for tenant inquiries, concerns, and requests.
- Foster positive relationships with tenants to enhance satisfaction and retention.
- Conduct regular check-ins with tenants to address issues and gather feedback.
- Receive and process maintenance and repair requests from tenants.
- Coordinate with maintenance staff and vendors to ensure timely and effective resolution of issues.
- Follow up with tenants to confirm satisfactory completion of maintenance tasks.
- Distribute important notices and updates to tenants regarding building operations, maintenance schedules, and community events.
- Maintain clear and consistent communication channels with tenants through email, phone, and in-person interactions.
- Assist with lease administration, including renewals, terminations, and amendments.
- Maintain accurate and up-to-date tenant records and files.
- Prepare and distribute tenant welcome packages and orientation materials.
- Plan and coordinate tenant appreciation events, community activities, and other engagement initiatives.
- Collaborate with the marketing team to promote events and enhance tenant participation.
- Address and mediate conflicts between tenants or between tenants and the property management team.
- Track and report on tenant satisfaction metrics and maintenance request trends.
- Provide regular updates to the property manager on tenant-related issues and resolutions.
Qualifications:
- Bachelor’s degree in property management, business administration, or a related field preferred.
- Previous experience in property management, customer service, or a similar role.
- Strong interpersonal and communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in property management software and Microsoft Office Suite.
- Excellent organizational and multitasking abilities.
- Problem-solving skills and a proactive attitude.
