Job Description
Our well-known client in the Retail industry is looking for a Senior Administrative Assistant to join their team on a contractual basis. This is a hybrid opportunity working 3 days in their Etobicoke office and 2 days from home. The ideal candidate will have a minimum of 4 years of experience as an Administrative Assistant where they have supported management and/or the executive team.
Roles and Responsibilities:
- Provide administrative support to the VP, and Senior Director and assist the department as needed.
- Proactively manage inquiries and mail distribution.
- Organize calendars, appointments, and meetings, including arrangements for internal and external meetings.
- Maintain confidentiality in HR proposals and correspondence.
- Manage the Company Bereavement program, including notices and orders.
- Administer daily, weekly, monthly, or annual programs such as postings and service recognition events.
- Oversee the quarterly store recognition program, including budget management and communication.
- Maintain accurate files and employee profiles for senior management.
- Update Collective Bargaining Agreement lists based on incoming unionized employee request forms.
- Assist in preparing documentation for Collective Agreement negotiation and administration.
- Input contract comparison changes as needed.
- Manage leave of absence requests from applicable unions, securing approval and preparing related correspondence.
- Prepare billing summaries.
- Handle department supply orders.
- Update and prepare travel log information and expense reports.
- Administer and track invoices, budget information, and miscellaneous follow-up files.
- Arrange meetings, airline tickets, hotels, and transportation as required.
Qualifications and Experience:
- Completion of a Post Secondary education.
- A minimum of 4 years experience in an Administrative role supporting management and/or an executive team.
- Intermediate computer skills, including Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience with SAP is an asset
- Flexibility to handle ad hoc projects.
- Ability to collaborate with management and administrative personnel.
- Strong organizational skills with a sense of urgency and ability to prioritize tasks.
- Professional verbal and written communication skills.
- Above-average keyboarding skills (accuracy and speed).
