Senior Administrative Assistant
Altis Recruitment is grateful to have the opportunity to partner with an organization the Broader Public Sector to support the recruitment of a Senior Administrative Assistant for a 3 month contract opportunity that may have the opportunity for further extension. This role will be working on-site in Mississauga 4 days a week, working a 7.5 hour work day. The successful candidate will be responsible for providing administrative support to 6 executives, preparing packages for board meetings and scheduling and planning over 25 board, staff and committee meetings throughout the year.
Roles and Responsibilities
Board and committee meeting support:
- Organize schedules for board, staff, and committee meetings, including venue arrangements when necessary
- Spearhead the creation and dissemination of agendas and meeting materials
- Oversee the capture and handling of action items from meetings
- Develop PowerPoint presentations and informational packages for board meetings
- Attend all Board meetings to record minutes and track action items
- Contribute to planning and executing annual business meetings
Administrative Support for Office and Leadership:
- Supervise the quarterly reporting schedule for Leadership
- Assist HR with the orientation of new staff
- Offer calendar and administrative assistance to the President and Leadership team as required
- Manage the voicemail inbox
- Monitor and forward emails from the general email account to the appropriate recipients within the organization
Qualifications and Skills
- Strong written and verbal communication
- 3+ years of experience working in administration
- Strong technical skills and experience using the MS Office Suite (Word, Excel, Outlook and Powerpoint)
Education
- Post-Secondary degree/diploma in administration or related field
