Job Description

Altis Recruitment is grateful to partner with an organization within the Broader Public Sector to support the recruitment of a temporary Executive Assistant. This is a 3 month contract that requires on-site presence within their lower mainland office. The role is supporting multiple executives and will be assisting with scheduling meetings, preparing presentations and assiting with board meetings. The successful candidate will have exceptional administrative skills, attention to detail, and the ability to work collaboratively in a dynamic environment.

Roles and Responsibilities

  • Efficiently schedule and manage the executive's calendar.
  • Gather and prepare information, presentations, reports, and documentation.
  • Prepare meeting materials and conduct research as needed.
  • Compose reports and documents for various audiences.
  • Facilitate onboarding and orientation for direct report hires.
  • Cultivate relationships with external stakeholders.
  • Handle approvals on behalf of the President.
  • Organize events on behalf of the President.
  • Develop and maintain annual work schedules for the board and committees.
  • Coordinate new employee orientation.
  • Manage the board's budget.
  • Provide secretarial and administrative support to the Board and its committees.
  • Maintain official records and documents.
  • Coordinate with leadership to ensure timely input to committees and the Board.
  • Revise and publish documents.
  • Manage calendars for events and meetings.
  • Offer support to individual executives as required.
  • Assist in preparing recurring Executive Committee agendas.
  • Initiate follow-up actions from meetings.
  • Assist in report and presentation preparation.

Qualifications and Skills

  • Proven experience as an Executive Assistant or similar role supporting senior leadership.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and calendar management software.
  • Ability to handle sensitive and confidential information with discretion.
  • Strong research and report-writing abilities.
  • Exceptional problem-solving skills and attention to detail.
  • Ability to work effectively in a fast-paced environment.
  • Strong interpersonal skills for building relationships with internal and external stakeholders.

 

Education

  • Bachelor's degree in Business Administration, Public Administration, or a related field preferred.
