Events Planner
Our private sector healthcare client is seeking an Events Planner to join their busy team in 2024! This is an exciting contract role that is set to terminate end of June, with strong possibility of further extension based on performance and business needs.
A high degree of communication skills are required to be successful in this opportunity coupled with strong self-direction experience. The successful candidate will be able to work in a fast paced environment and adjust to emerging or changing priorities.
Roles and Responsibilities
- Coordinate event logistical planning for all upcoming events including the three (3) day AGM, Wellness Gatherings, Professional Development and Engagement Forums and more.
- Support with all event logistics such as venue booking, catering, accommodations, and related contracts.
- Act as lead liaison with the organization's travel team to create, trouble shoot, and launch event registration.
- Lead bi-weekly planning team meetings.
- Coordinate travel arrangement process for attendees, including booking air travel, organizing room block lists, and other transportation as required.
- Sourcing and securing presenters, facilitators, and wellness practitioners for the varied events.
- Work with marketing team to develop materials for events programs including presenter biographies, sessions descriptions, agenda materials, etc.
- Create and maintain a current vision of the event agenda and budget. Prepare drafts and updates for Board of Directors as required and requested.
Qualifications and Skills
- 2 years' of related experience in events, conference management, or travel arrangements.
- Experience working with BC First Nations communities and/or organizations is a strong asset.
- Significant administrative capacity with a strong attention to detail.
- Intermediate experience utilizing a variety of office tools such as MS Office, SharePoint, and online registration tools.
- Solid writing skills including briefing notes and reports.
- Experience managing budgets.
- Strong customer service skills.
- A strong business acumen for systems, processes, and procedures.
Education
- A diploma in travel/business/office administration is considered a strong asset.
