About the Opportunity
Are you an organized, detail-oriented administrative professional who thrives in a collaborative environment? We're seeking an Administrative Assistant to support a busy legal team within a professional regulatory organization. This opportunity is ideal for someone with administrative experience in a law firm or legal department who enjoys keeping operations running smoothly.
You'll play an important role in supporting colleagues, managing confidential information, and ensuring administrative processes remain efficient and accurate. This is an administrative-focused position rather than a traditional Legal Assistant or Paralegal role.
What's In It for You
Join a professional, people-focused environment that values integrity, collaboration, innovation, and well-being. You'll gain exposure to legal and regulatory operations while strengthening your administrative, records management, and technical skills.
Your Responsibilities
• You'll provide day-to-day administrative support, responding to inquiries and coordinating information across teams.
• You'll prepare correspondence, reports, memos, presentations, and other professional documents.
• You'll maintain SharePoint document libraries, folder structures, naming conventions, and user access permissions.
• You'll update internal databases, maintain accurate records, and support information management processes.
• You'll review and submit approved invoices and financial requisitions for processing.
• You'll document administrative procedures and identify opportunities to improve workflows.
Skills and Qualifications
• 2–5 years of relevant administrative experience, ideally within a law firm or in-house legal department.
• Post-secondary education in administration, business, or a related discipline.
• Advanced proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
• Hands-on experience with Adobe Acrobat Pro, including PDF editing, formatting, and document management.
• Strong SharePoint skills, including document organization, file management, and access permissions.
• Familiarity with Webex, Microsoft Visio, and internal database or membership management systems.
• Excellent communication, organizational, problem-solving, and time management skills, with strong attention to detail and confidentiality.
