Reporting to the Director of Board Relations, you'll play a key role in supporting Board and Committee operations, managing confidential documentation, and coordinating with senior leaders and cross-functional teams. Your professionalism, initiative, and attention to detail will contribute to effective governance operations.

  • Join a collaborative, professional environment that values initiative and teamwork.
  • Enjoy a hybrid work arrangement with onsite parking access.
  • Build valuable experience in executive administration and stakeholder coordination.

Your Responsibilities

  • You'll provide administrative support to the Director and Board Office, including calendar management, scheduling, and correspondence.
  • You'll coordinate Board and Committee meetings, preparing agendas, distributing meeting packages, and managing logistics.
  • You'll attend virtual and in-person meetings, record accurate minutes, document decisions, and track action items.
  • You'll organize onsite meetings and events, including catering, room arrangements, technology, and coordination with facilities teams.
  • You'll prepare presentations, briefing notes, reports, surveys, and confidential correspondence while maintaining organized records.
  • You'll communicate professionally with Board members, physicians, senior leaders, and internal and external stakeholders.
  • You'll support expense processing, procurement, research, and administrative reporting while anticipating changing priorities.

Skills and Qualifications

  • 2–3 years of administrative experience, ideally supporting senior leadership, and an Office Administration diploma.
  • Experience coordinating meetings, preparing agendas, taking minutes, and managing competing deadlines.
  • Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams; experience with Zoom, Adobe Acrobat, SurveyMonkey, Microsoft Copilot, and SharePoint is an asset.
  • Exceptional written and verbal communication skills, with a polished, professional, and diplomatic approach.
  • Strong attention to detail, discretion, sound judgment, and initiative when handling confidential information.
  • Ability to work independently, collaborate across teams, and adapt to changing priorities.
  • Healthcare, broader public sector, nonprofit, or Board support experience is an asset, along with flexibility to travel between sites and occasionally attend evening meetings.
