About the Opportunity
Are you an organized, detail-oriented professional who enjoys keeping things running smoothly behind the scenes? An established healthcare organization is seeking an Office Coordinator to provide essential administrative and operational support to its Facilities and Engineering team.
In this role, you'll work closely with leadership, maintenance staff, contractors and vendors to coordinate everything from payroll and purchasing to scheduling and maintenance requests. Your ability to stay organized, anticipate needs and manage competing priorities will directly support the people and operations that keep a busy healthcare environment functioning.

Your Responsibilities
• You'll provide daily administrative support, coordinate meetings, manage correspondence and maintain accurate, confidential departmental records.
• You'll process invoices, purchase requisitions, expense claims and vendor documentation, working closely with Accounts Payable.
• You'll coordinate bi-weekly payroll, verify timekeeping records and process vacation, sick leave and shift adjustments.
• You'll maintain staff schedules, communicate changes and support workforce coverage across rotating shifts.
• You'll triage maintenance requests, coordinate with technicians and contractors, and track work requests through departmental systems.
• You'll oversee administrative coordination of facility keys, identification badges, parking requests and departmental supply inventories.
Skills and Qualifications
• 3–5 years of experience providing administrative support, ideally within a fast-paced, operational environment.
• Post-secondary education in Business Administration or an equivalent combination of education and experience.
• Advanced proficiency in Microsoft Office, internet applications and electronic data and document management systems.
• Strong organizational, time-management and prioritization skills, with the ability to meet competing deadlines.
• Excellent written and verbal communication skills, with a collaborative, service-oriented approach.
• Demonstrated discretion when handling confidential employee, financial and operational information.
• Strong attention to detail, sound judgment, adaptability and the initiative to work independently.
