About the Opportunity

We’re looking for a polished, welcoming, and highly organized Receptionist to serve as the first point of contact for a professional office environment. This is an in-office role where you’ll play an important part in creating a positive experience for visitors, employees, and external partners while keeping day-to-day office operations running smoothly.

Reporting to the Vice President, Human Resources & Administration, you’ll bring a proactive and service-oriented approach to reception, office administration, vendor coordination, and team support. If you enjoy being the person who keeps things organized, notices what needs to be done, and is always ready to lend a hand, this role offers an opportunity to make a meaningful impact.

Your Responsibilities

  • You’ll provide professional, in-office reception coverage five days per week, welcoming visitors and staff and creating a positive first impression.
  • You’ll answer, screen, and direct incoming calls, emails, and in-person inquiries while ensuring questions reach the appropriate contact or department.
  • You’ll manage visitor logs, incoming and outgoing mail, courier deliveries, documents, and general reception correspondence.
  • You’ll support day-to-day office operations through data entry, filing, scanning, photocopying, meeting room coordination, and maintaining a clean, organized reception area.
  • You’ll monitor office and kitchen supplies, liaise with vendors and service providers, coordinate maintenance requests, and support staff events, meetings, and team-building activities.
  • You’ll provide administrative support to HR, Finance, and Operations while responding professionally to changing priorities and additional office needs.

Skills and Qualifications

  • Any length of previous reception or front-desk experience is welcome, with a strong focus on professionalism and customer service.
  • Excellent verbal and written communication skills with a warm, approachable, and professional manner.
  • Strong organization and multitasking skills, with the ability to manage competing priorities in a fast-paced environment.
  • Demonstrated discretion and sound judgment when handling confidential information and workplace inquiries.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook, with the ability to learn new office systems and equipment.
  • Strong problem-solving skills, adaptability, and a proactive approach to supporting colleagues and office operations.
  • Reliable, polished, and comfortable working independently while collaborating with a variety of internal and external stakeholders.
