About the Opportunity
This is an exciting opportunity for an experienced Executive Assistant and Board Liaison to support executive leadership and Board operations within a high-profile public sector organization. You’ll work closely with the President and CEO, senior leaders, Board members, and key stakeholders, helping ensure priorities move forward smoothly and sensitive matters are handled with care.

Your judgement, organization, discretion, and ability to anticipate what comes next will help senior leaders stay focused while ensuring Board and Committee activities run seamlessly.

Your Responsibilities
• You’ll manage a complex executive calendar, travel, expenses, correspondence, presentations, events, and competing priorities.
• You’ll monitor commitments, communications, and sensitive issues, ensuring timely follow-up and appropriate escalation.
• You’ll coordinate Board and Committee meetings, including notices, agendas, Board packages, logistics, and stakeholder materials.
• You’ll attend meetings, prepare accurate minutes, and draft resolutions and motions for Board activities.
• You’ll work with internal stakeholders to compile materials and maintain a consistent flow of information.
• You’ll support annual corporate filings and governance compliance with applicable legislation, regulations, Letters Patent, and by-laws.
Skills and Qualifications
• 5+ years of direct administrative and corporate secretarial support experience working with senior executives and Board members.
• Post-secondary degree, diploma, or certificate in Office Administration or an equivalent field.
• Advanced Microsoft Office skills, including Word, Excel, PowerPoint, and related productivity tools.
• Expert written and verbal communication skills, with French-English bilingualism considered an asset.
• Exceptional organization, attention to detail, minute-taking, proofreading, and prioritization skills.
• Strong judgement, discretion, resourcefulness, and demonstrated ability to handle confidential information.
• Proven ability to build trusted relationships, meet demanding deadlines, and adapt quickly in a fast-paced environment.
