Job Description

Location: Ottawa, ON, Hybrid (1 day per week on-site)

Language: English required. Bilingualism (English/French) is considered a strong asset for long-term opportunities.

Duration: 6-month Contract

Background Check Requirement: Reliability Security Clearance. Candidates must be eligible to obtain Reliability Status prior to their start date.

Your Responsibilities
• You'll serve as the primary administrative contact for technical committee members, responding to inquiries and providing timely support.
• You'll coordinate meetings, virtual conferences, travel arrangements, and committee logistics to ensure activities run efficiently.
• You'll maintain accurate records, committee documentation, databases, and reporting information across multiple systems.
• You'll prepare correspondence, meeting materials, reports, and distribute committee ballots and technical documentation.
• You'll process travel claims, funding applications, financial tracking, and other administrative transactions with a high level of accuracy.
• You'll support quality management initiatives by maintaining documentation and recommending process improvements that enhance operational efficiency.

Skills and Qualifications
• Recent graduate or 1 to 3 years of progressive administrative or coordination experience in a fast-paced environment.
• Experience supporting multiple stakeholders while managing competing priorities with exceptional attention to detail.
• Strong customer service skills, ideally gained in industries such as real estate, insurance, healthcare, professional services, or volunteer coordination.
• Experience preparing correspondence, reports, presentations, records management, scheduling meetings, travel coordination, and expense administration.
• Proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, Adobe Acrobat, and electronic collaboration tools.
• Excellent written and verbal communication skills with the ability to build positive relationships and provide professional support.
• Eligibility to obtain Reliability Security Clearance prior to employment.
