Job Description

Location: Toronto, ON, On-site (Monday to Friday)
Language: Excellent written and verbal English communication skills
Background Check Requirement: Two professional references, criminal record check, and credit check

About the Opportunity
Join a respected professional services organization where you'll play a key role in supporting a collaborative Real Estate team. This permanent opportunity is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in keeping operations running smoothly behind the scenes. Every day brings new priorities, new people to support, and opportunities to make a meaningful impact.

Working alongside Lawyers, Legal Assistants, and a supportive leadership team, you'll provide administrative and overflow support across the department rather than supporting a single individual. If you're organized, proactive, and enjoy balancing multiple priorities while maintaining exceptional attention to detail, this is an opportunity to grow your career in a people-focused environment.

What's In It for You
A workplace that values collaboration, learning, and professional growth, with leaders who are approachable and supportive.

Competitive compensation, comprehensive health and dental benefits, RRSP matching, education support, wellness initiatives, fitness reimbursement, paid overtime with the option to bank additional vacation time, and flexibility around vacation entitlement for experienced candidates.

Your Responsibilities
• You'll prepare and proofread a variety of legal documents, correspondence, and closing materials with a high level of accuracy.
• You'll provide administrative support across the Real Estate team, responding to changing priorities and assisting where coverage is needed most.
• You'll coordinate calendars, meetings, boardrooms, deadlines, file openings, and closing activities to help keep legal matters on track.
• You'll maintain both electronic and physical files, update workflow systems, and manage document organization and filing.
• You'll communicate with lawyers, colleagues, and external contacts to obtain information and coordinate day-to-day activities.
• You'll assist with expense reports, invoices, time entries, document production, scanning, printing, and other administrative tasks.

Skills and Qualifications
• 1+ years of legal administrative experience, ideally supporting Commercial Real Estate.
• Post-secondary education in Legal Administration or an equivalent combination of education and experience.
• Experience preparing legal documentation and supporting lawyers in a fast-paced legal environment.
• Working knowledge of Teraview and Closing Folders is required.
• Strong proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
• Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities with minimal supervision.
• Excellent communication skills, sound judgment, and a collaborative, service-oriented approach.

Note from the Hiring Manager
"We're looking for someone who enjoys variety, takes ownership of their work, and is always willing to step in and support the team. If you're proactive, organized, and thrive in a collaborative environment, you'll have plenty of opportunities to grow here."
