About the Opportunity
We're recruiting on behalf of a well-established organization in the financial services sector that is looking for a proactive and highly organized administrative professional to support senior leadership while helping keep day-to-day operations running smoothly. This is an opportunity to step into a visible role where your organization, initiative, and attention to detail will have a direct impact on the success of the team.
Working closely with executives and colleagues across the organization, you'll balance executive support with office coordination responsibilities in a collaborative, professional environment. If you enjoy managing competing priorities, anticipating needs, and finding solutions before challenges arise, you'll thrive in this role.
What's In It for You
Join a collaborative team where initiative, professionalism, and teamwork are genuinely valued. You'll gain exposure to senior leadership, build experience within a respected financial services environment, and contribute to a workplace that encourages continuous improvement, collaboration, and professional growth. This opportunity also offers the potential to transition into a permanent role based on performance and business needs.
Your Responsibilities
• You'll provide executive administrative support to two senior leaders, managing complex calendars, coordinating meetings, travel logistics, and monthly expense reporting.
• You'll communicate with internal stakeholders to coordinate meetings, events, and executive schedules while ensuring priorities remain on track.
• You'll oversee daily office operations, including office supplies, kitchen amenities, meeting spaces, printers, and coordination with vendors or IT support as needed.
• You'll assist with invoice processing, office expense tracking, and other administrative activities that support business operations.
• You'll coordinate internal meetings, staff events, and employee engagement activities while helping maintain a welcoming and organized office.
• You'll proactively identify opportunities to improve processes, solve problems, and provide support wherever it's needed.
Skills and Qualifications
• 2+ years of Executive Assistant or senior administrative experience supporting executives in a corporate environment.
• Previous experience within the financial services industry or another professional corporate setting is strongly preferred.
• Advanced proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
• Experience with SharePoint is considered an asset.
• Experience using Microsoft Teams and/or Webex.
• Demonstrated ability to manage competing priorities with discretion, professionalism, and exceptional attention to detail.
• A proactive, collaborative approach with strong communication, organizational, and problem-solving skills.
