About the Opportunity
This is a highly visible opportunity for an experienced Executive Assistant to support the President and Executive team of a national organization. In a dynamic environment where priorities can shift quickly, you’ll bring organization, professionalism, and structure to the Executive Office while helping senior leaders stay focused on what matters most.
More than a traditional administrative role, this position offers the opportunity to become a trusted partner to senior leadership and help shape how the Executive Office operates. You’ll have the autonomy to establish effective ways of working, anticipate needs, and make an immediate impact.

Your Responsibilities
• You’ll manage the President’s complex calendar, priorities, travel arrangements, and day-to-day administrative requirements.
• You’ll coordinate Executive leadership meetings, including agendas, meeting materials, minutes, action items, and follow-up.
• You’ll prepare polished correspondence, reports, presentations, and other Executive-level documentation.
• You’ll manage sensitive and confidential information with discretion, sound judgment, and integrity.
• You’ll communicate professionally with internal and external stakeholders on behalf of the Executive Office.
• You’ll anticipate emerging needs, manage shifting priorities, and support strategic initiatives and special projects.
Skills and Qualifications
• 5+ years of experience providing Executive-level administrative support to senior leaders or C-suite executives.
• Bilingual English and French communication skills, with strong written and spoken abilities in both languages.
• Post-secondary education in Business Administration, Office Administration, Executive Administration, or a related field.
• Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and virtual meeting platforms.
• Proven experience managing complex calendars, Executive travel, meetings, confidential information, and competing priorities.
• Exceptional written communication skills, including professional correspondence, meeting minutes, and Executive reports.
• Strong judgment, discretion, attention to detail, accountability, adaptability, and relationship-building skills.
