Job Description

Location: Mississauga, ON – On-site, 5 days per week
Hours: 37.5 hours per week (8:00 a.m.–4:00 p.m. or 9:00 a.m.–5:00 p.m.)
Contract: 3 months, with possibility of extension
Pay Rate: $30–$33 per hour
Parking: Paid underground parking available for $44/month

About the Opportunity
Are you an organized administrative professional with experience supporting insurance processes and managing detailed documentation? We are partnering with a public-sector organization seeking an Insurance & Administrative Coordinator to provide administrative support to its Legal and Insurance team on a 3-month contract, with the possibility of extension.

Working as part of a small, collaborative team of four, you will support contract administration, insurance renewals, certificates of insurance, document management, and day-to-day coordination with internal teams and external partners. This is a fast-paced environment with plenty of moving pieces, making it a great opportunity for someone who enjoys staying organized, taking initiative, and keeping important processes on track.

Your Responsibilities
• You'll provide day-to-day administrative support to the Legal and Insurance team, helping manage competing priorities in a fast-paced environment.
• You'll coordinate agreement and contract signature processes, supporting the administration of approximately 200 active contracts.
• You'll organize and maintain electronic files, documentation, correspondence, and business information.
• You'll support the annual insurance renewal process by organizing certificates of insurance, saving documentation, and distributing certificates to internal business development stakeholders.
• You'll coordinate requests for new certificates of insurance and correspond with the insurance broker and internal business development managers.
• You'll support insurance coverage adjustments and coordinate related information with the Finance team.
• You'll assist with presentations and other administrative documentation as required.
• You'll use Microsoft Teams, Excel, PowerPoint, PDF tools, and the broader Microsoft Office suite to support daily activities.

Skills and Qualifications
• 3–5 years of relevant administrative and/or insurance experience, with insurance experience strongly preferred.
• Experience supporting insurance-related administration, documentation, or coordination.
• Strong organizational and time-management skills with the ability to manage a high volume of documents, requests, and changing priorities.
• Proficiency with Microsoft Teams and the Microsoft Office suite, including Excel and PowerPoint.
• Experience working with PDF documents and electronic filing and document-management processes.
• Strong written and verbal communication skills with the ability to correspond professionally with internal stakeholders and external partners.
• Excellent attention to detail, particularly when working with contracts, insurance certificates, and other important documentation.
• RIBO/CAID, CRM, or CIP designation is considered an asset.
