About the Opportunity
This is an opportunity for an experienced Administrative Assistant to become a trusted resource within a busy industry association. Working across administration, executive support, operations, membership, programs, and events, you’ll help keep day-to-day priorities organized and moving forward.
You’ll support senior leaders and collaborate with a small, high-performing team whose work connects with members, government, and external partners. The pace can shift throughout the year, making this a great fit for someone who enjoys autonomy, variety, and stepping in wherever their expertise is needed.

Your Responsibilities
• You’ll provide day-to-day administrative and office support, proactively identifying priorities and keeping the workplace organized and efficient.
• You’ll support senior leaders with calendars, meetings, travel coordination, correspondence, and follow-up activities.
• You’ll assist with invoicing, basic banking and accounting administration, Excel data maintenance, mail merges, and document preparation.
• You’ll support membership administration, registrations, programs, events, and coordination with venues and external partners.
• You’ll prepare correspondence, reports, and meeting materials while tracking deadlines and action items.
• You’ll handle sensitive, political, legal, and confidential information with professionalism and discretion.
Skills and Qualifications
• 10+ years of administrative, operational, or executive support experience, ideally in a fast-paced professional environment.
• Demonstrated ability to work independently, anticipate needs, and take ownership with limited direction.
• Strong organization, judgment, adaptability, and attention to detail when priorities shift.
• Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, and SharePoint.
• Experience with Adobe for PDF editing, forms, and document preparation.
• Strong written and verbal communication skills, with bilingualism considered an asset.
• Experience in legal, government, non-profit, association, consulting, or another confidential environment is an asset.
