About the Opportunity
We’re hiring an Administrative Services Coordinator for a four-month contract with a national industry association. You’ll provide hands-on administrative and operational support, with a strong focus on processing, fulfilling and distributing industry documents.
This is a great fit for someone who enjoys keeping details organized, helping people get what they need and contributing wherever priorities arise. You’ll work closely with internal teams and external association contacts, providing responsive, professional service in a collaborative, business-casual office environment.
What’s In It for You
• Consistent Monday-to-Friday schedule, with a 7-hour paid workday and start time between 7:00 a.m. and 9:00 a.m.

Your Responsibilities
• You’ll process document orders and coordinate accurate packaging, mailing and shipment.
• You’ll maintain document inventory, sales and order records, identifying replenishment needs as they arise.
• You’ll respond to routine questions related to document orders, availability, shipping and fulfillment.
• You’ll monitor shared inboxes, triage inquiries and connect requests with the appropriate team member.
• You’ll support data entry, filing, document preparation, record keeping and other administrative priorities.
• You’ll help organize physical documents, materials, supplies and storage areas.
• You’ll assist with mail, courier and general office administration as needed.
Skills and Qualifications
• Previous administrative, coordination or office support experience, ideally in a detail-oriented environment
• Strong organizational skills, accuracy and attention to detail
• Confident written and verbal communication skills with a service-oriented approach
• Proficiency with Microsoft Word, Excel and Outlook
• Ability to manage documentation, records and multiple administrative priorities efficiently
• Sound judgment, professionalism and discretion when handling internal and external information
• Bilingualism in English and French is required
