About the Opportunity
This is an immediate opportunity for a highly organized Administrative Coordinator to support a busy mental wellness program within a community-focused organization. You’ll provide essential administrative support behind services that connect individuals with mental health resources, helping ensure invoices, purchase orders, contracts, and provider documentation move accurately and on time.

Working virtually alongside a supportive internal team, you’ll manage a high-volume workflow involving hundreds of service providers and approximately 900 clients. This role is ideal for someone who enjoys detailed, process-driven work and understands the importance of discretion when handling sensitive information.

You’ll receive structured training, a detailed process manual, equipment, and ongoing support from an experienced team. You’ll also gain valuable exposure to high-volume invoicing, procurement, contract administration, and mental wellness program operations, all while working fully remotely.

Your Responsibilities
• You’ll process approximately 150 to 250 invoices and purchase orders each week, ensuring information is complete and accurate.
• You’ll maintain large Excel trackers, complete data entry, and monitor deadlines across a high-volume workflow.
• You’ll follow up by email on missing documentation and support contracted service providers with invoice-related questions.
• You’ll prepare and update service provider contracts and maintain accurate administrative records.
• You’ll act as an administrative liaison, coordinating invoice and purchase order information with internal stakeholders and procurement.
• You’ll maintain discretion and confidentiality when working with sensitive client and service information.

Skills and Qualifications
• 1+ years of administrative experience, ideally involving invoicing, procurement, financial tracking, contracts, or high-volume data entry.
• Advanced Excel skills are a must, along with strong proficiency in Outlook and Microsoft Office.
• Strong understanding of purchase orders and invoice processing workflows.
• Exceptional organization, accuracy, attention to detail, and ability to manage competing deadlines.
• Confidence working independently within established processes while handling a large volume of transactions.
• Strong written communication skills, with comfort managing most correspondence by email.
• Experience in mental health, healthcare, community services, or Indigenous-focused programming is considered an asset.
