Are you someone who notices what needs to get done and takes care of it before being asked? Do you enjoy keeping an office organized, helping people, and finding small ways to make the workplace better?
We're looking for a proactive, hands-on Junior Office Manager to help oversee the day-to-day operations of a professional corporate office with approximately 50 employees.
This is a great opportunity for someone with a foundation in office administration, reception, or workplace coordination who is ready to take on broader responsibilities. You'll be the go-to person for office needs, vendor relationships, facilities coordination, and creating a welcoming, well-run workplace.
The ideal person is resourceful, takes initiative, and genuinely enjoys helping others. You'll be comfortable jumping between responsibilities, solving problems independently, and making sure things get done without needing constant direction.
You'll join a collaborative, people-focused workplace where your contributions will be noticed and your ideas are welcomed. You'll have the opportunity to expand your experience across office management, facilities, vendor coordination, and employee engagement while taking ownership of daily operations.
The role offers a consistent seven-hour workday, generally between 8:00 a.m. and 4:00 p.m., with occasional 7:30 a.m. starts for early meetings. There is also potential for extension or a longer-term opportunity.
Office Operations: Take ownership of daily office needs, ensuring the workspace is organized, welcoming, fully stocked, and running smoothly.
Facilities and Vendors: Coordinate with building management, service providers, and vendors to address office needs, follow up on requests, and resolve issues proactively.
Front Desk and Communication: Welcome visitors, respond to inquiries and calls, and act as a reliable point of contact for employees, visitors, and external partners.
Administrative Support: Assist with invoicing, expense processing, office purchases, scheduling, and general administrative tasks, staying ahead of deadlines and requests.
Employee Experience: Help create a positive workplace by coordinating catering, office activities, meetings, and initiatives that make employees feel supported.
Meetings and Committees: Support internal committees, coordinate meetings, take notes, and follow up on action items to keep activities moving forward.
Continuous Improvement: Notice opportunities to improve how the office operates, bring forward practical ideas, and take initiative to implement solutions.
General Office Support: Be willing to jump in wherever needed, whether that means coordinating a vendor visit, preparing a meeting room, resolving an office issue, or helping a colleague.
Previous experience in office administration, reception, facilities coordination, workplace services, or a similar role.
Exposure to vendor coordination, office operations, facilities, or general administrative responsibilities.
A proactive mindset with the ability to recognize what needs attention and take action without waiting for direction.
Strong organizational skills and the ability to manage multiple responsibilities in a busy office environment.
Professional, friendly communication skills and confidence interacting with employees, visitors, and vendors.
Comfort supporting invoices, expenses, office supplies, scheduling, and general administrative processes.
A genuine interest in creating a positive office environment and making the day-to-day experience better for employees.
A flexible, hands-on approach and willingness to help with tasks both big and small.
