Job Description

Location: Toronto, Ontario (Hybrid)
Work Arrangement: Currently 3 days per week on-site, with flexibility required to transition to increased on-site work in the future
Start Date: September 28, 2026
Duration: Approximately 6-month contract with potential for extension or permanent opportunity
Background Check Requirement: Successful candidate will be required to complete security screening, including a name-based and fingerprint check
Pay Rate: $56.46/hour.

About the Opportunity

Our client, a respected organization within the regulatory and public sector environment, is seeking an experienced Branch Administrator to provide high-level administrative and operational support within its Human Resources department.

Reporting directly to a senior HR executive, this role requires someone who is polished, highly organized, and confident working with senior leadership. You will help manage executive priorities, coordinate day-to-day activities, and provide administrative support that enables the HR function to operate efficiently.

This opportunity is well suited to an experienced administrative professional who takes initiative, communicates exceptionally well, and remains composed while managing multiple priorities in a fast-paced and evolving environment.

Your Responsibilities

  • You’ll provide high-level administrative support to a senior HR executive and assist with the coordination of departmental priorities

  • You’ll manage complex calendars, meetings, scheduling requirements, and competing executive priorities

  • You’ll coordinate meetings and activities involving leadership teams and internal stakeholders

  • You’ll prepare, review, and organize correspondence, presentations, meeting materials, reports, and other documentation

  • You’ll monitor action items, deadlines, and follow-ups to help ensure priorities remain on track

  • You’ll communicate professionally with executives, employees, and internal and external stakeholders

  • You’ll support departmental initiatives and administrative projects as priorities evolve

  • You’ll handle confidential and sensitive information with a high degree of professionalism and discretion

  • You’ll identify opportunities to improve administrative processes and help the team adapt to changing business needs

Skills and Qualifications

  • Several years of progressive administrative experience, including demonstrated experience directly supporting senior executives

  • Experience supporting senior leadership teams and coordinating multiple competing priorities

  • Exceptional organizational, calendar management, and time-management skills

  • Excellent written and verbal communication skills with a polished and professional approach

  • Confidence communicating and building relationships with executives and stakeholders at all organizational levels

  • Strong judgment and discretion when handling confidential and sensitive information

  • Proactive and self-directed, with the ability to anticipate needs and take ownership with limited direction

  • Comfortable working in a fast-paced, evolving environment where priorities may change quickly

  • Strong proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Teams

  • A collaborative approach, growth mindset, and willingness to adapt to organizational change

  • Previous experience working in a hybrid environment with the flexibility to transition to increased on-site work as organizational requirements evolve
