Hours: Monday to Friday 8:30am-5:30pm (occasional overtime required)
About the Opportunity
Our client is seeking a polished and highly organized Executive Assistant to support a group of approximately 10 senior professionals within a fast-paced corporate environment. This role is ideal for someone who communicates confidently, anticipates needs, and can manage competing priorities with limited direction.
You will play an important role in keeping schedules, meetings, travel, documents, and team activities organized. The successful candidate will be professional, adaptable, and comfortable supporting multiple individuals with varying priorities and working styles.

Your Responsibilities
- You’ll manage complex calendars and coordinate meetings for approximately 10 senior professionals
- You’ll book meeting rooms, organize conference calls, and ensure participants have the information and materials required
- You’ll coordinate domestic and international travel arrangements in partnership with an external travel provider
- You’ll support the planning and coordination of team meetings, events, and internal activities
- You’ll prepare, review, edit, proofread, and format documents, presentations, spreadsheets, and meeting materials
- You’ll create polished PowerPoint presentations with a strong focus on accuracy, consistency, and professional formatting
- You’ll process expenses, reconcile receipts, and submit invoices and related documentation within required timelines
- You’ll respond professionally to email and telephone inquiries while helping ensure priorities and follow-ups remain on track
- You’ll handle confidential information and sensitive business matters with discretion
- You’ll provide additional administrative support as priorities evolve
Skills and Qualifications
- 2+ years of experience as an Executive Assistant, Senior Administrative Assistant, or similar professional support role
- Demonstrated experience supporting multiple leaders or a larger team
- Advanced proficiency with Microsoft Outlook, Word, Excel, and PowerPoint
- Strong calendar management, meeting coordination, travel, and event-planning skills
- Excellent written and verbal communication skills with a polished and professional presence
- Exceptional attention to detail, proofreading, document preparation, and presentation-formatting abilities
- Proactive and self-motivated, with the ability to work effectively with limited direction
- Comfortable managing demanding schedules, shifting priorities, and urgent requests
- Strong judgment and discretion when handling confidential information
- Industry-specific experience is not required
