About the Opportunity
Our client, a confidential family office based Down Town Toronto, is seeking a highly organized and proactive Executive Assistant / Personal Assistant / Office Manager to become a trusted member of their close-knit team. This is an exciting opportunity to support a small family office that manages investments, personal assets, and real estate holdings while working closely with senior family members and key stakeholders.
This is a dynamic, people-focused role where no two days are the same. You'll play a critical role in ensuring both business and personal operations run seamlessly by providing executive support, managing personal affairs, and overseeing the day-to-day operations of the office. Your Responsibilities
- You'll provide executive support by managing calendars, coordinating meetings, arranging travel, and handling confidential correspondence for senior family members.
- You'll oversee personal administrative matters, including travel bookings, restaurant reservations, appointments, bill payments, banking, and other day-to-day personal requests.
- You'll ensure the office operates efficiently by managing supplies, coordinating with vendors, IT support, building management, and service providers.
- You'll support financial administration, including corporate and personal banking transactions, transfers, expense tracking, and invoice processing.
- You'll proactively identify opportunities to improve office processes while supporting special projects and responding to changing priorities with professionalism and discretion.
Skills and Qualifications
- Previous experience as an Executive Assistant, Personal Assistant, Office Manager, or in a similar multifaceted administrative role.
- Experience supporting executives, business owners, or families in a small business, entrepreneurial, or family office environment is highly preferred.
- Exceptional organizational, multitasking, and time management skills with the ability to prioritize competing demands.
- A proactive, resourceful, and independent work style with the confidence to make decisions and work with minimal direction.
- Strong interpersonal skills with a friendly, approachable, and professional demeanor.
- High level of discretion, integrity, and the ability to handle confidential information.
- Proficiency with Microsoft Office and experience with expense management, banking administration, or bookkeeping is considered an asset.
