Job Description

Location: Pickering, ON (Fully On-site)
Language: English 
Duration: Contract until the end of December, with potential for extension
Compensation: $23.69 per hour
Hours: Monday to Friday, rotating shifts between 8:00 a.m. and 6:00 p.m.

About the Opportunity

Our client is seeking a highly organized and detail-oriented Administrative Documentation Coordinator to support a variety of documentation and administrative processes within a fast-paced financial services environment. This role plays an important part in ensuring customer documentation is processed accurately, regulatory requirements are met, and internal records remain up to date.

The ideal candidate is a strong administrator who enjoys working with detailed documentation, managing multiple priorities, and delivering exceptional service while maintaining a high level of accuracy and confidentiality.

Your Responsibilities

• Prepare and distribute customer-facing documentation, including welcome letters, lien letters, release letters, and other account-related correspondence.

• Coordinate documentation related to the repossession process, including preparing notices, auction packages, and required paperwork for third-party recovery partners such as bailiffs and repossession agencies.

• Support insurance administration by processing requests, cancellations, and total loss claims while preparing the required documentation and monitoring files through to completion.

• Prepare and issue deficiency balance letters while maintaining accurate account records and updating customer information as required.

• Register lease and retail contracts with the appropriate provincial registry, ensuring compliance with applicable Personal Property Security Act (PPSA) requirements and maintaining accurate documentation for contract amendments.

• Provide administrative support for lease transfers, refinancing activities, and other account changes by preparing, reviewing, and processing all required documentation.

• Maintain organized electronic records and ensure all documentation is completed accurately, securely, and within established service standards.

• Collaborate with internal teams and external partners to resolve documentation inquiries and ensure timely completion of administrative processes.

Skills and Qualifications

• Previous experience in an administrative, documentation, or contract coordination role, preferably within financial services, automotive finance, banking, leasing, or a similar regulated environment.

• Strong attention to detail with the ability to accurately manage high volumes of documentation.

• Experience working with confidential customer information while maintaining discretion and professionalism.

• Excellent organizational and time management skills with the ability to manage multiple priorities and meet deadlines.

• Strong problem-solving skills and the ability to follow established processes while identifying opportunities for continuous improvement.

• Proficiency with Microsoft Office applications and the ability to quickly learn new systems and internal processes.
