About the Opportunity
We are recruiting for an Administrative Assistant to support a busy organization within the child welfare sector. This role plays an important part in ensuring frontline teams have the administrative resources and operational support they need to serve children, youth, and families throughout the community. Working in a fast-paced, service-focused environment, you will help maintain accurate records, coordinate branch activities, and provide responsive support to a dedicated team of professionals.

Your Responsibilities
• You’ll provide frontline administrative support to branch staff, responding to telephone inquiries and directing requests appropriately
• You’ll maintain accurate records within internal systems, including document management and data entry
• You’ll prepare correspondence, reports, schedules, forms, meeting materials, and minutes as required
• You’ll coordinate administrative processes including transportation arrangements, birth certificate requests, mail distribution, filing, and office logistics
• You’ll support staff with technology applications and help troubleshoot routine administrative issues
• You’ll assist with reporting, statistical tracking, financial administration, and records management activities
• You’ll collaborate with colleagues across the branch and provide reception or clerical backup coverage when needed
Skills and Qualifications
• 2+ years of recent administrative experience, supported by a Secondary School Diploma or an equivalent combination of education and experience
• Strong proficiency with Microsoft Office applications and computerized record management systems
• Demonstrated experience handling confidential and sensitive information with discretion
• Excellent customer service, telephone, and interpersonal communication skills
• Strong organizational skills with the ability to manage competing priorities in a fast-paced environment
• Proven problem-solving, initiative, and de-escalation abilities
• Experience within child welfare, social services, nonprofit, community services, or related sectors is considered a strong asset
