Your Responsibilities
• You'll manage complex calendars, scheduling priorities, and meeting coordination for senior leaders and key stakeholders
• You'll coordinate internal and external meetings, prepare agendas, and capture meeting minutes and action items
• You'll support administrative activities related to research projects, publications, grant submissions, and departmental initiatives
• You'll prepare correspondence, presentations, reports, and other confidential documentation
• You'll organize special events, visitor logistics, and departmental meetings while ensuring a professional experience for attendees
• You'll process travel arrangements, expense reports, invoice tracking, and other financial administration tasks
• You'll collaborate with internal departments including Finance, Human Resources, Legal, Education, and Research Services to support operational needs
Skills and Qualifications
• 3+ years of progressive administrative, executive assistant, or senior administrative support experience
• Demonstrated experience supporting multiple leaders and managing complex scheduling requirements
• Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
• Strong experience coordinating meetings, events, travel arrangements, and expense reconciliation
• Excellent written and verbal communication skills with a polished and customer-focused approach
• Proven ability to work independently, prioritize competing deadlines, and adapt within a fast-paced environment
• Previous experience within healthcare, research, academic, or scientific settings is considered an asset
