Job Description

In this multifaceted role, you will serve as the central point of coordination for office operations, administrative support, and technology-related processes. Working closely with employees across the organization and reporting directly to the CFO, you will help ensure the office runs smoothly while supporting onboarding, vendor coordination, technology administration, and day-to-day employee needs.

Your Responsibilities
• You’ll coordinate onboarding and offboarding activities, including account setup, hardware allocation, software licensing, and vendor communication.
• You’ll maintain technology and office asset inventories, ensuring accurate tracking of laptops, mobile devices, accessories, and related equipment.
• You’ll act as the primary point of contact between employees and third-party IT providers, assisting with troubleshooting and coordinating support requests.
• You’ll oversee day-to-day office administration, including supply management, reception coverage, meeting room readiness, and general office operations.
• You’ll manage mobile phone administration, vendor accounts, invoice allocation, and coordination with the accounting team.
• You’ll support operational and technology-related initiatives, including system upgrades, equipment refreshes, and process improvement projects.
• You’ll contribute to employee engagement activities and support various administrative projects as needed.

Skills and Qualifications
• 3+ years of progressive administrative, office coordination, or office management experience.
• Demonstrated experience supporting a busy office environment with multiple competing priorities.
• Strong technical aptitude with the ability to perform basic troubleshooting of workplace technology, including laptops, monitors, docking stations, and meeting room equipment.
• Proficiency with Microsoft Office, particularly Excel for tracking inventories, assets, and administrative records.
• Experience coordinating with external vendors, service providers, or third-party consultants.
• Excellent organizational and time management skills with a proactive approach to problem-solving.
• Strong communication and interpersonal skills with a customer service mindset.
• Postsecondary education in business administration or a related field is considered an asset.
