About the Opportunity
Health and Supportive Care Providers Oversight Authority (HSCPOA) is seeking an experienced Executive Assistant and Board Administrator to provide strategic administrative and governance support to the Chief Executive Officer, Board of Directors, and Board Committees. This is an exciting opportunity to join a purpose-driven regulatory organization that plays a critical role in strengthening public confidence and accountability within Ontario's health and supportive care sectors.

As a trusted partner to the CEO and Board, you will be at the center of organizational operations, ensuring the seamless coordination of executive priorities, governance activities, stakeholder communications, and Board processes. You will work closely with senior leadership, Board members, committee representatives, government stakeholders, and sector partners while helping drive operational excellence and effective decision-making across the organization.

Your Responsibilities
• You'll manage executive calendars, meetings, correspondence, and priorities, ensuring the CEO remains informed, organized, and prepared for key commitments
• You'll coordinate Board and Committee meetings, including agendas, briefing materials, minutes, action tracking, and follow-up activities
• You'll serve as a key liaison between executive leadership, Board members, committees, government representatives, and external stakeholders, fostering productive and professional relationships
• You'll prepare, review, and maintain reports, presentations, governance documentation, and executive communications with a high degree of accuracy and discretion
• You'll support Board recruitment, nominations, onboarding, and governance administration processes while maintaining related records and manuals
• You'll oversee budget tracking, expense reporting, and administrative processes for the Office of the CEO
• You'll identify opportunities to enhance efficiency through process improvements and technology solutions

Skills and Qualifications
• 5+ years of progressive experience in a senior administrative, executive assistant, board governance, or related role
• Post-secondary diploma in Administrative Studies or a related discipline, or an equivalent combination of education and experience
• Exceptional written and verbal communication skills with the ability to build trusted relationships across diverse stakeholder groups
• Demonstrated experience supporting executive leaders, Boards of Directors, committees, or governance functions
• Strong organizational, analytical, and problem-solving skills, with the ability to manage multiple competing priorities effectively
• Proven ability to handle confidential information with discretion, sound judgment, and professionalism
• Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, MS Teams, and Power BI
