Job Description

Location: Ottawa, ON (On-site, Hunt Club Road & Antares Drive area)

Language: English required, bilingualism (English/French) is considered an asset

Duration: 4-week contract, June 22 to July 18, 2026, with potential extension of 1 to 3 weeks based on business needs

Background Check Requirement: Reliability Clearance + Criminal Background check required before start date

About the Opportunity
An established organization in a professional, security-controlled environment is seeking a Receptionist to serve as the first point of contact for employees, executives, visitors, and vendors. This role is ideal for someone who enjoys creating positive first impressions, takes pride in providing excellent service, and thrives in a polished office setting.

Reporting to the Office Manager, you'll play an important role in supporting daily front desk operations while assisting with office coordination, facilities-related activities, and event support. Your Responsibilities
• You'll greet visitors, employees, and vendors, ensuring a welcoming and professional experience while maintaining visitor logs and security protocols
• You'll manage incoming calls, direct inquiries, and relay messages accurately and efficiently
• You'll coordinate meeting room bookings, appointments, catering arrangements, and other administrative requests
• You'll oversee incoming and outgoing mail, courier services, deliveries, and office consumable inventory
• You'll support the Facilities Manager with office events, meeting setups, flag installations, and general office coordination
• You'll assist with light vendor coordination and office maintenance activities as required
• You'll provide reception coverage at other Ottawa office locations when needed

Skills and Qualifications
• 1+ year of reception, customer service, or administrative support experience
• College diploma in administration or an equivalent combination of education and experience
• Strong interpersonal, communication, and customer service skills
• Proficiency with Microsoft 365 applications including Outlook, Teams, Word, and Excel
• Highly organized, dependable, and professional with strong attention to detail
• Comfortable working independently in a quieter environment with periods of downtime between tasks
• Experience with Lotus Notes is considered an asset
