About the Opportunity
A well-established real estate and property management organization is looking for a Portfolio Administrative Assistant to join their collaborative team during a maternity leave coverage period. Supporting both residential and commercial portfolios, this role offers exposure to a fast-paced environment where no two days look the same.
You’ll work closely with an experienced property management group in a supportive office of approximately 11 team members. This is a great opportunity for someone who enjoys balancing administrative coordination, tenant communication, and property operations while contributing to a workplace known for its positive culture and team-oriented environment.

Your Responsibilities
• You’ll maintain and update leasing and property management information within Yardi Voyager
• In this role, you’ll prepare lease documentation, tenant notices, and rental increase communications
• You’ll support accounts payable and receivable processes, including invoice coordination and rent collection follow-up
• You’ll liaise with tenants, contractors, and building operators to support repair requests and day-to-day communications
• You’ll assist the property management team with administrative coordination and portfolio support
• You’ll help verify billing accuracy, prepare tenant statements, and maintain organized records and documentation
Skills and Qualifications
• 1+ years of administrative or property management experience, ideally within residential or commercial real estate
• Experience using Yardi Voyager is strongly preferred
• Strong proficiency with Microsoft Office, including Excel, Outlook, and Word
• Excellent organizational skills with the ability to manage multiple priorities effectively
• Strong attention to detail and a commitment to producing accurate work
• Confident communication skills and the ability to build positive tenant relationships
• Experience supporting property managers or working in a fast-paced office environment is considered an asset
