About the Opportunity
Our client in the non-profit sector is seeking a detail-oriented and service-driven Executive Assistant to support a senior executive within a fast-paced and collaborative environment. Your Responsibilities
- You’ll manage complex executive calendars, balancing shifting priorities, urgent requests, and scheduling requirements
- You’ll coordinate meetings, prepare agendas and materials, and provide logistical support for virtual and in-person meetings
- You’ll organize domestic and international travel arrangements, including itineraries, accommodations, and related logistics
- You’ll prepare, edit, proofread, and format executive-level documents, reports, presentations, and correspondence
- You’ll maintain organized records, files, and shared workspaces while ensuring confidentiality and discretion
- You’ll process expenses, reimbursements, and administrative transactions accurately and within required timelines
- You’ll support project tracking, follow-ups, and coordination activities to help ensure deliverables are completed efficiently
- You’ll provide administrative and coordination support to committees and internal initiatives as needed
Skills and Qualifications
- 3+ years of experience in an Executive Assistant or senior administrative support role
- Experience supporting senior leaders within a fast-paced or complex environment
- Strong organizational and time-management skills with the ability to manage competing priorities
- Exceptional written and verbal communication skills in both English and French
- High level of professionalism, discretion, and attention to detail
- Proficiency with Microsoft Office, including Word, Excel, PowerPoint, Outlook, Teams, and Zoom
- Ability to work independently while collaborating effectively across teams
- Experience within the non-profit or charitable sector is considered an asset
