Job Description

Location: Ontario, Canada (Remote, with possible travel to Toronto as needed)
Language: Strong written and verbal English communication required. French is considered an asset.
Duration: 3-month contract with possibility of extension

About the Opportunity
An established regulatory organization is seeking a detail-oriented Registration Program Associate to support a busy and collaborative team during a high-volume period. This opportunity is ideal for an experienced administrator who enjoys working in a fast-paced environment, supporting applicants through important certification and registration processes, and delivering exceptional client service.

In this role, you’ll work closely with the Registration Manager and a supportive team to help manage applicant files, respond to inquiries, and ensure applications are processed accurately and efficiently. This is a great opportunity for someone who is organized, adaptable, and confident handling sensitive information in a professional environment.

Your Responsibilities

  • You’ll process and review applicant files, ensuring all documentation is complete and accurate
  • You’ll respond to applicant inquiries by phone and email regarding certification steps, education requirements, exams, and application status
  • You’ll support application administration including data entry, payment verification, follow-up communications, and committee preparation
  • You’ll review applicant information against established checklists and procedures, identifying missing, incomplete, or inconsistent documentation for follow-up
  • You’ll maintain accurate records and documentation within CRM and SharePoint systems
  • You’ll help ensure committee deadlines and application timelines are met in a high-volume environment
  • You’ll escalate complex or sensitive issues to the Registration Manager as needed
  • You’ll provide backup support across the registration team as needed, helping maintain service levels during peak volumes or urgent deadlines

Skills and Qualifications

  • 3+ years of administrative or coordination experience in a fast-paced environment
  • Experience within a regulatory body, nonprofit, association, healthcare, admissions, credential assessment, or certification environment
  • Strong organizational skills with excellent attention to detail and confidentiality
  • Comfortable managing high volumes of emails, applications, and applicant inquiries
  • Proficiency with MS Office, Excel/spreadsheets, MS Teams, CRM systems, and SharePoint
  • Strong communication and interpersonal skills with a professional and client-focused approach
  • Postsecondary education in administration or a related field
