About the Opportunity
Our client, an established non-profit/association in Downtown Toronto, is seeking a highly organized and perceptive Administrative Assistant to support the CEO. This is a role designed to provide dedicated executive and operational support as the organization continues to evolve and grow.

In this position, you will act as a trusted partner to the CEO, helping to manage priorities, coordinate key initiatives, and ensure seamless communication across senior stakeholders and board members. You will thrive in a close-knit, professional environment where judgment, discretion, and the ability to navigate complexity are essential to success.

Your Responsibilities
• You’ll manage the CEO’s calendar, ensuring priorities are aligned and scheduling is optimized
• You’ll coordinate board meetings, committee activities, and internal meetings, including preparation and follow-up
• You’ll act as a key point of contact for executive-level stakeholders, managing communications with professionalism and discretion
• You’ll oversee office operations such as mail, supplies, and internal event coordination
• You’ll track deliverables and follow up with staff, vendors, and committees to ensure accountability
• You’ll support meeting logistics, including preparing materials, agendas, and post-meeting action items

Skills and Qualifications
• 3+ years of progressive administrative experience, with demonstrated stability and tenure. Experience working in a Non-Profit/Association or Regulatory organization is a strong asset.
• Advanced proficiency in Microsoft Office Suite, including Outlook, SharePoint, PowerPoint, and OneNote
• Strong organizational skills with the ability to manage multiple priorities and deadlines
• Excellent interpersonal and communication skills, with confidence interacting with senior stakeholders
• A proactive and resourceful mindset, with the ability to anticipate needs and take initiative
• High level of discretion, diplomacy, and sound judgment in complex situations
• Experience supporting recurring meetings requiring detailed coordination and follow-through
