Job Description

Project Coordinator

Location: Ottawa, Ontario, On-site (5 days per week)
Language: English, strong written and spoken communication required
Duration: Permanent

About the Opportunity
We’re partnering with a growing organization in the real estate development sector to hire a Project Coordinator to support a dynamic pipeline of multi-residential and mixed-use projects. This newly created role is ideal for someone who thrives in structured environments and enjoys bringing clarity to complex, fast-moving development workflows.

You’ll collaborate closely with senior leadership, consultants, and internal teams to keep early-stage development activities on track. From coordinating approvals and managing documentation to aligning stakeholders, your work will play a key role in ensuring projects move efficiently through planning, zoning, and pre-construction phases.

What’s In It for You
You’ll join a collaborative, entrepreneurial team that values accountability, strong communication, and a hands-on work ethic. The environment balances high performance with a supportive culture, offering opportunities to contribute meaningfully while continuing to learn.

This role provides valuable exposure to the full development lifecycle, particularly in urban planning, rezoning, and municipal approvals. It’s a strong fit for someone looking to build a long-term career in development coordination within the Ottawa market.

Your Responsibilities

  • You’ll coordinate communication with external consultants, ensuring deliverables are complete and aligned with project timelines
  • In this role, you’ll manage document control systems and maintain organized, compliant project records
  • You’ll support zoning, rezoning, and site plan approval processes, tracking submissions and liaising with municipal stakeholders
  • You’ll assist with pre-construction activities, including preparing RFPs and coordinating consultant onboarding
  • You’ll schedule and support meetings, prepare agendas, capture notes, and track action items
  • You’ll monitor project schedules and approvals, keeping stakeholders informed and projects progressing

Skills and Qualifications

  • 1 to 3 years of experience in project coordination, urban planning, real estate development, or construction
  • Demonstrated experience supporting municipal approvals, zoning, rezoning, or land development processes
  • Local Ottawa experience in construction, development, or urban planning is required
  • Strong organizational and document management skills with a process-driven mindset
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment
  • Experience working on institutional, commercial, or large-scale development projects is an asset

Note from the Hiring Manager
“We’re looking for someone who takes pride in staying organized and keeping projects moving. If you’re a team player who enjoys building efficient processes and wants to grow within development, you’ll do well here.”
