As the Office Operations Manager, you'll connect customers, sales, operations, and finance by ensuring every job is organized, documented, and moving forward efficiently.

Your Responsibilities
• You'll manage inbound customer inquiries, coordinate appointments, and ensure every opportunity has a clear next step.
• You'll oversee scheduling and job coordination using Monday.com, confirming jobs are fully prepared before dispatch.
• You'll maintain complete job documentation, track rebate applications, and ensure records remain accurate and accessible.
• You'll support billing by coordinating invoices, monitoring receivables, and documenting payment follow-up.
• You'll coordinate purchasing, inventory, fleet administration, and safety documentation while working closely with internal stakeholders.
• You'll identify process improvements, resolve day-to-day operational issues, and provide leadership with regular operational status updates.

Skills and Qualifications
• 3+ years of progressive office operations, project coordination, construction administration, or field service administration experience.
• Experience coordinating schedules, customer communications, and administrative workflows in a fast-paced environment.
• Strong working knowledge of Monday.com or similar project and workflow management platforms.
• Experience supporting billing, receivables, rebate administration, or accounts payable processes.
• Excellent organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
• Strong communication and relationship-building skills with customers, field teams, and internal stakeholders.
• Proficiency with Microsoft Office and a continuous improvement mindset.
