Location: Ottawa, Ontario, On-site, Monday to Friday

About the Opportunity

Our client, a mission-driven organization in the non-profit sector, is seeking a highly organized and people-focused Bilingual Administrative Assistant / Receptionist to support their team on a 6-month contract with potential for extension. This front-desk, on-site role plays a vital part in creating a welcoming and professional first impression while keeping day-to-day operations running smoothly.

You will work closely with the Executive Assistant to the President and the Management Team, supporting administrative, event, and health and safety functions across the organization. Your Responsibilities

  • You’ll serve as the first point of contact, welcoming guests and responding to inquiries with professionalism and warmth.
  • In this role, you’ll manage phone lines and correspondence in both English and French.
  • You’ll provide administrative and ad-hoc support to the Executive Assistant to the President and Management Team.
  • You’ll support daily office operations, including scheduling, filing, document preparation, and database updates.
  • You’ll assist with internal communications and coordination across departments.
  • You’ll help plan and coordinate logistics for meetings, events, and conferences, including liaising with vendors and caterers.
  • You’ll maintain clean, organized, and professional reception, kitchen, and event spaces.

 

Skills and Qualifications

  • 1+ year of administrative or reception experience in an office environment.
  • Bilingual fluency in English and French, both written and spoken.
  • Strong proficiency with word processing and general computer systems.
  • Experience maintaining databases and handling confidential information.
  • Knowledge of administrative and basic human resources procedures.
  • Excellent interpersonal skills with a professional and approachable demeanor.
  • Highly organized, reliable, and able to work independently.
  • Experience in non-profit, union, or advocacy environments is considered an asset.
